Job Description and Duties

Basic duties being performed in this position:

1. Scanning:  Small Documents: This includes the scanning and handling of documents up to 11" x 17". These documents may need to be removed from and replaced in binders, folders, and the like.  Large Documents: This includes the scanning and handling of documents larger than 11" x 17".  The documents may be delicate/historic documents and includes projects with large volumes of originals. Handling of these documents include removing attachments such as Post-It notes, paperclips, and staples.

2. Quality Check (QC):  Viewing and reviewing the scanned images for legibility, sheet count, and overall image quality.

3. Naming Convention, File Structure, Delivery

Naming Convention: After the scanning of each page, folder, or binder is completed, the OT will be responsible for naming the resulting file(s) per the client's instructions.

File Structure: After naming is complete, the OT may be responsible for creating a file structure, per client's request.  Delivery: The OT will be responsible for delivery of final files to client via email, physical media transfer, or over the network.

4. Client Interaction:  The OT will have frequent interactions with clients to provide updates and acquire information needed to properly complete project. These interactions may include email, phone, or in-person. There may be need for the OT to attend meetings between Reprographics and the client(s) to help define what is needed for each project.

5. Administrative (Office) Duties: Basic office duties such as filling, client correspondence, tracking time and projects, and some typing.

Eligibility for hire may be determined by your score on the Office Technician General exam.  For those who do not have current eligibility (e.g., transfer, permissive reinstatement, or voluntary demotions) and/or who will be new to state civil services employment, you must be on the state examination list to be eligible for these positions. Desirable Qualifications

In addition to evaluating each candidate's relative ability, as demonstrated by quality and breadth of experience, the following factors will provide the basis for competitively evaluating each candidate:


Knowledge of scanning, scanners, and scanning software.

Proficient working in a networked Windows environment using Microsoft Office programs and Adobe Acrobat.

Must be detail oriented and able to stay on task.

A history of providing customer service in person, on the phone, and via electronic services, ie email, Teams, Web Ex and the like. Basic office duties such as filling, client correspondence, tracking time and projects, and some typing.
